PART-TIME BOOKKEEPER (On-Site | Appleton, WI)

Sentinel Safety & Security LLC

• Sentinels entities are a leading provider of fire protection systems, with a rich history spanning over 30 years in the industry, and rank 4th in Engineering News-Records (ENR).

Ecco Ride LLC

• Ecco Ride provides ground transportation services ranging from small shuttle operations to managing transportation for public and private school systems. Ecco Ride is the 11th-largest school busing company in the nation.

Agilex Business Solutions LLC

• Agilex offers an ePayables program that increases efficiency by enabling customers to pay multiple vendors through a single electronic payment, improves security with a virtual card-based system, and delivers monthly cash rebates.

The Bookkeeper is responsible for maintaining accurate financial records and supporting the day-to-day accounting functions of the organization. This role ensures timely recording of financial transactions, account reconciliations, accounts payable and receivable processing, and preparation of financial reports. The Bookkeeper works closely with management, accountants, and external partners to maintain financial accuracy and compliance.

Bookkeeper Responsibilities:

Responsibilities will include, but are not limited to:

General Accounting

• Record and maintain accurate financial transactions in the accounting system.
• Process journal entries and assist with month-end and year-end closing activities.
• Maintain the general ledger and supporting schedules.
• Reconcile bank accounts, credit card accounts, and other balance sheet accounts.
• Monitor and resolve accounting discrepancies.

Accounts Payable

• Review and process vendor invoices.
• Match invoices to purchase orders and supporting documentation.
• Prepare and process payment runs.
• Maintain vendor records and respond to vendor inquiries.
• Monitor accounts payable aging and ensure timely payments.

Accounts Receivable

• Generate customer invoices and statements.
• Record customer payments and apply receipts.
• Monitor outstanding receivables and assist with collections efforts.
• Reconcile customer accounts and resolve billing discrepancies.

Financial Reporting

• Prepare monthly financial reports and account reconciliations.
• Assist with budgeting and cash flow tracking.
• Maintain fixed asset and depreciation schedules.
• Support management with ad hoc financial reporting requests.

Compliance and Audit Support

• Maintain organized accounting records and supporting documentation.
• Assist external auditors, tax advisors, and regulatory agencies with requested information.
• Support sales tax, use tax, and other regulatory filings as needed.
• Ensure compliance with company policies and accounting procedures.

Bookkeeper Qualifications:

Experience and Education

• 2+ years of bookkeeping or accounting experience.
• Associates degree in Accounting, Finance, Business Administration, or related field preferred.
• Proficiency with accounting software. Prefer QuickBooks.
• Strong knowledge of accounts payable, accounts receivable, bank reconciliations, and general ledger accounting.
• Proficiency in Microsoft Excel and other Microsoft Office applications.
• Strong attention to detail and organizational skills.
• Ability to handle confidential information with discretion.
